Just Like With Paper

Document management systems save on space, guarantee tamperfree archiving and speed up workflow processes. DocuWare offers another important advantage: the way you work with electronic documents on a monitor is based on the way you work with paper documents. Your staff doesn’t need to learn any new process steps. They do just as they would with paper. So it’s no wonder that the program’s users have quickly embraced this new technology.

Documents appear on the monitor in DocuWare’s viewer. Just like with a pen, you can directly write notes on a document, underline or frame parts of a text. As with a highlighter, the program lets you highlight important bits. Annotations can be added to a document just like you would a post-it note or a paper clip. A variety of utensils in the toolbar or icon bar are available for editing – and you can place them next to a document or anywhere on the screen where they can be used very intuitively. Just like on paper, you can add a stamp to an electronic document.

You can even set them up so that the word “Authorized” might appear automatically while other current data such as the name of a cost center or project can be added during each processing step. These stamps are how DocuWare manages workflows: a stamped document appears automatically in the folder of the next employee in the chain. And the best news is that all of these options are available for a broad variety of file formats — from scanned paper documents to Word files, from Excel tables to PDF files and much more.

Copiers Integrated Seamlessly

Digital copiers are used today as an increasingly popular central capturing station for paper documents. And these scanned documents flow effortlessly into DocuWare with the help of its own feature set as well as more custom solutions from partner companies.

Many of these leading edge copiers – so-called Multi-Function Systems – offer scanning in addition to printing and copying features. Once documents have been digitized, they are either stored in a pre-defined network directory or sent to a specific e-mail address. At this point, DocuWare ACTIVE IMPORT automatically imports the scanned documents into the basket of a user or directly into a file cabinet. All documents are then immediately available company-wide to authorized employees for further processing.

To index documents, DocuWare ACTIVE IMPORT can import index words as well. These are usually entered directly on the display of a digital copier. That way they can also be combined with index criteria captured via bar code or text recognition.

Partner companies are able to offer even more benefits for integrating multi-function copiers: specialized solutions from eCopy, efi and NSI let you display the document during the scanning process. A monitor and keyboard can also be connected to the digital copier, which lets you better control scan quality and efficiently index a document manually right at the copier.
